Alltrack Rail Co Pty Ltd as trustee for the Alltrack Group Trust (“Alltrack”, “we”, “us”) respects your privacy. This policy explains how we handle personal information collected through our newsletter subscription and preference forms.

Information we collect

When you subscribe, we collect your email address and selected preferences, including equipment categories, newly published equipment alerts, newsletter frequency and event updates.

You may also choose to provide your name, company, country and mobile number. These details are optional. A mobile number is required only if you request future WhatsApp updates.

We keep records of your subscription, confirmation, consent, preference changes, unsubscribe requests and emails sent to you. Our website also processes technical information, such as your IP address, to protect the forms against misuse.

How we use your information

We use your information to:

  • Confirm and manage your subscription.

  • Send a welcome email containing the current equipment list after you confirm your subscription.

  • Send newly published equipment alerts matching your selected interests.

  • Send weekly or monthly equipment lists according to your chosen frequency.

  • Send event updates when you select that option.

  • Process preference changes, enquiries and unsubscribe requests.

  • Maintain sending records, prevent duplicate alerts and protect our systems.

Weekly and monthly newsletters contain the full available equipment list. Your selected equipment categories apply to newly published equipment alerts.

Your choices and consent

Subscribing is voluntary. You can browse our equipment listings without subscribing.

We ask you to consent to email updates and confirm your email address before activating your subscription. You can change your preferences at any time through the personal “Manage preferences” link in our emails, without creating a website account.

Each marketing email includes an unsubscribe link. You can also contact us to unsubscribe. We will process unsubscribe requests promptly and within five working days.

Unsubscribing from marketing does not prevent us from replying to an enquiry or communicating about a transaction you have requested.

Mobile numbers and future WhatsApp updates

Providing a mobile number does not, by itself, give consent to WhatsApp marketing. We collect that consent separately.

WhatsApp sending is not currently enabled. If you select the future WhatsApp option, we will record your request for Alltrack equipment and event updates through that channel.

Before launching WhatsApp updates, we will update this policy to explain the service providers involved and relevant handling of your information.

Email and WhatsApp preferences are separate. Unsubscribing from email does not automatically remove a WhatsApp preference. You can withdraw either or both through your preferences or by contacting us.

Storage and sharing

Subscriber records are stored in our WordPress website database. Authorised staff and service providers may access information where necessary to operate, maintain and support the newsletter.

This may include website hosting, email delivery, backup and technical support providers. We may also disclose information where required or authorised by law.

We do not sell or rent subscriber information or provide it to other businesses for their independent marketing.

Overseas processing

Our service providers may store or process personal information outside Australia.

Security and retention

We take reasonable steps to protect subscriber information against loss, misuse and unauthorised access, alteration or disclosure.

We retain information for as long as reasonably needed to manage subscriptions, maintain appropriate consent and sending records, resolve enquiries and meet applicable legal obligations.

Unsubscribing stops newsletter emails but does not automatically delete your records. We may retain limited information to record your opt-out and prevent unwanted future contact. Information no longer required will be securely deleted or de-identified, subject to applicable requirements and backup retention arrangements.

Access, correction and deletion requests

You can update your interests, frequency and optional details through your personal preference link.

You may also contact us to request access to, correction of, or deletion of your personal information. We may need to verify your identity before acting. If we cannot fulfil a request, we will explain why, subject to any legal restrictions.

We may update this policy to reflect changes to our newsletter or information-handling practices. The current version will be available on our website with its revision date. Changes to this policy do not replace any consent required for new marketing activities.
